Excel Basics: Build a Dynamic Gradebook with Formulas & Functions

What You'll Learn in This Excel Basics Tutorial

This video kicks off a 10-part Excel Basics series. You'll build a dynamic grade book from scratch, learning essential skills like formulas, functions, formatting, and page setup along the way. For a broader introduction, our guide on Google Sheets Introduction: Data Entry, Functions & Formatting for Beginners covers similar foundational concepts across both platforms.

Excel Core Concepts

What is Excel?

Excel does two main things:

  • Calculations: Create formulas (like =SUM) to add numbers
  • Data Analysis: Transform raw data into useful information (e.g., using PivotTables to find top-selling products)

Excel Structure

  • Columns: Designated by letters (A, B, C...)
  • Rows: Designated by numbers (1, 2, 3...)
  • Cell: The intersection of a column and a row (e.g., D8)
  • Worksheet (Sheet): All cells on one tab
  • Workbook: The entire Excel file (all sheets together)

Default Alignment (Your Visual Cue)

Excel aligns data based on its type:

  • Text: Left-aligned
  • Numbers, Dates, Times: Right-aligned
  • Logical (TRUE/FALSE): Centered and capitalized
  • Errors: Centered

Tip: If a number is left-aligned, Excel treats it as text, not a number. This breaks formulas.

Number Formatting ≠ Changing the Number

  • Number Formatting (Home > Number) changes only how a number looks, not the underlying value.
  • Formulas always see the true number in the cell, not the formatted display.
  • The "Golden Rule": To truly change a number, use a function like =ROUND(), never rely on formatting.
  • To remove all number formatting, apply the General format.
  • Percentage format: Multiplies the value by 100 for display. The underlying decimal (e.g., 0.0375) stays unchanged for formulas. Always show enough decimals to see the true percentage.

Building the Gradebook Project

Data Entry & Navigation

  • Tab: Moves selection right
  • Control + Enter: Enters data and keeps the cell selected
  • Arrow Keys: Navigate between cells (faster than clicking for formulas)
  • Control + Page Down/Up: Move between sheets
  • Right-click Sheet Scroll Arrows: Open the Activate dialog to jump to any sheet

The Fill Handle (♥ The "Angry Rabbit" ♥)

The small green square in the bottom-right corner of a selected cell is the fill handle. It auto-completes data based on patterns.

| Input | Drag Result | | :--- | :--- | | Test 1 or Quiz 1 | Test 2, Test 3... (increments the number) | | January | February, March... (recognizes months) | | 1/1/2024 | 1/2/2024, 1/3/2024... (fill by day) | | Wednesday | Thursday, Friday... (recognizes days) | | 2, 5 (selected together) | 8, 11, 14... (adds 3 each time) |

Trick with Smart Tag: After filling dates, click the Smart Tag to choose:

  • Fill Months
  • Fill Weekdays (skips weekends)

Cell Reference Types (Crucial!)

  • Relative Reference (e.g., K8): Changes when you copy the formula. The formula looks eight cells to the left.
  • Absolute Reference (e.g., $K$5): Locked in place. Use when you always want to point to one specific cell (like a constant or lookup table). Press F4 to toggle.

Entering Data Efficiently

  • Control + Shift + Down Arrow: Jump to the last cell in a column
  • Control + Backspace: Jump back to the active cell
  • Shift + Click: Select a contiguous range
  • Control + Click: Select non-adjacent cells (great for applying formula formatting)
  • Control + Enter (with multiple cells selected): Enter the same data into all selected cells instantly

Three Types of Formulas

1. Single Input / Single Output (Old School)

  • Operator: Single items on both sides (e.g., =K8/$K$5)
  • Behavior: Delivers one answer per cell. Must be manually copied down.
  • Action Required: Lock cell references with $K$5, then Control+Enter and drag down.

2. Dynamic Spill Array Formula (New in Microsoft 365)

  • Operator: One side has an array of cells (e.g., =K8:K13/$K$5)
  • Behavior: "Spills" the result into multiple cells automatically from a single formula.
  • Advantages:
    • No locking needed, the array covers the correct range.
    • No manual copying, edit the top cell, and all results update.
    • No ghost formulas below (you cannot edit them).
    • The Spilled Range Operator (#) refers to the entire spill range (e.g., M8#).

3. Aggregate Calculation

  • Function: Takes multiple values and returns a single value (e.g., =SUM(K8:R8), =AVERAGE(), =MAX())
  • Behavior: Like the old school, it only fills one cell at a time.

Functions You'll Use

SUM (Keyboard Shortcut: Alt + =)

  • Adds a range of cells.
  • Ignores text values (no error).

AVERAGE

  • Finds the arithmetic mean of a range.

ROUND

  • =ROUND(number, num_digits)
  • Truly changes the underlying number (unlike formatting).
  • num_digits: Positive = decimal places; 0 = whole number; Negative = tens/hundreds.
  • Tooltip Tip: As you type, Excel shows descriptions of each function in the dropdown.

IFERROR

  • =IFERROR(value, value_if_error)
  • Replaces errors (like #DIV/0!) with a specified value (like 0).

XLOOKUP (Superior to VLOOKUP)

  • Syntax: =XLOOKUP(lookup_value, lookup_array, return_array, [if_not_found], [match_mode], [search_mode])
  • Match Mode: Choose -1 (Exact match or next smaller item) for grading ranges.
  • Dynamic Spill: If you highlight the entire lookup_value column, the formula spills results for all students.

Formatting & Final Polish

Style Formatting vs. Number Formatting

  • Style Formatting: Fill color, font color, borders (for visual presentation). Always ensure enough contrast between font and fill.
  • Number Formatting: Controls how values appear (e.g., percentages, decimals).

Format Painter

  • Single Click: Paints formatting once.
  • Double Click: Loads the paintbrush to apply formatting to multiple locations. Press Escape to turn off.

Borders & Colors

  • Control + Shift + 8 or Control + * (numpad): Select the entire current region (all data).
  • Use a distinct fill color (e.g., a specific green) to visually indicate cells containing formulas.

Page Setup for Printing

Dialog Box (Page Layout > Page Setup)

  • Page Tab: Choose Landscape orientation for wide spreadsheets.
  • Margins Tab: Adjust left/right (e.g., 0.3) and center Horizontally for a balanced look.
  • Header/Footer Tab:
    • Use Custom Footer buttons to insert dynamic code:
      • Page Number: &[Page]
      • Total Pages: &[Pages]
      • Sheet Name: &[Tab]
      • Date/Time
    • Example footer: &[Tab] - Page &[Page] of &[Pages]
  • Sheet Tab:
    • Set Print Area: Select the exact range to print (e.g., B1:N14).
    • Everything outside this area is excluded.

Pro Tips & Tricks

Today's Date

  • Keyboard Shortcut: Control + ;

Dynamic Gradebook with IFERROR

  • Wrap formulas in =IFERROR(original_formula, 0) to hide #DIV/0! errors when scores are missing.
  • After copying a formula with IFERROR, use the Smart Tag > Fill Without Formatting to keep your original colors and borders.

Extra Credit Best Practice

  • Never hardcode numbers (like +10) into a formula.
  • Instead, put the extra credit value in its own cell (e.g., $B$2) and reference it with an absolute reference. Then you can change the value once, and it updates everywhere.

Sheet Management

  • Rename: Double-click the sheet tab.
  • Copy Sheet (trick): Click and drag the sheet tab while holding Control. A plus sign (+) appears. Release the mouse (then the keyboard) to create a perfect copy with an incremented name (e.g., "Winter (1)" becomes "Winter (2)").
  • Color Tab: Right-click the sheet tab > Tab Color.
