Course Summary: Microsoft Copilot from Beginner to Pro
This 1-hour course, created by Microsoft MVP David Foron, is designed to transform you from a novice to a proficient user of Microsoft Copilot. It focuses on real-world tasks and provides a step-by-step guide to leveraging Copilot across the Microsoft 365 ecosystem. The course is structured into four key phases, culminating in building your own custom AI agent.
Phase 1: The Art of Prompting
The foundation of effective Copilot use is mastering your prompts. The instructor introduces the Goal, Context, Expectation, Source (GCES) formula.
- Task Example: Comparing two weekly sales PDFs from a pizzeria.
- Method: Use the GCES formula: Goal (compare reports), Context (I own a pizzeria), Expectation (create a table with columns), Source (attach the PDFs).
- Key Setting: Always select the Think Deeper model for significantly better results, especially on complex tasks.
- Resource: A free cheat sheet for the GCES formula is available (link provided in description). If you don’t have a paid M365 Copilot license, you can still practice these prompting techniques with the Free Copilot Chat Tutorial: Master M365 AI Without Paid License.
Phase 2: Customizing Your Copilot
Personalize Copilot to match your workflow and communication style using Custom Instructions.
- Task Example: Replying to an email in Outlook.
- Method: In Copilot settings, under Personalization, edit Custom Instructions. The instructor sets an instruction to always draft two versions of emails (a full, friendly version and a shorter reply) without preamble.
- Benefit: This ensures consistency and saves time on repetitive tasks like drafting responses.
Phase 3: Copilot in Microsoft 365 Apps
This phase demonstrates the power of Copilot integrated directly into Microsoft 365 applications, like Excel and Word.
Excel Pro Tips (7 Key Features)
- Create a Sales Dashboard: Ask Copilot to "Build me a sales dashboard from this data. Show the top five salespeople." It generates charts and insights, using your company branding if requested.
- Split Name Columns: Instead of manual formulas, ask Copilot to "Split the full name column into first name and last name." It adds new columns and uses a formula. Remember to paste as values before deleting the original column.
- Remove Duplicates: A simple prompt like "Find the duplicate rows in this table and remove them" works effectively.
- XLOOKUP for Data Matching: Ask Copilot to "Pull the phone number for each of my customers from the 'Full Names' sheet." It creates the complex XLOOKUP formula for you.
- Build Pivot Tables: Prompt for a pivot table on a new sheet with specific requirements like slicers and percentage of grand total. Pro Tip: Always select the correct model (e.g., GPT-5.6) to avoid crashes.
- General Advice: Transform your data into a structured Excel Table (Ctrl+T) and name it. This makes it much easier for Copilot to understand and work with your data.
Copilot in Microsoft Teams
- Prerequisite: Requires a paid M365 Copilot Premium license.
- Setup: When creating a meeting, go to Options > Recording & transcription and enable Record automatically and Transcribe automatically. Also turn on the Facilitator agent for meeting prompts.
- In-Meeting Features:
- Ask Copilot during the meeting to recap missed portions.
- The Facilitator Agent provides agenda-based prompts and warns when time is running out.
- Post-Meeting Features:
- AI Summary: Automatically generates a recap with key discussion points.
- Meeting Notes: Timestamped notes that link directly to the recording.
- Follow-up Tasks: Automatically extracts action items.
- Download Transcript: Download the full transcript to use with other apps.
- Video Recap: An experimental but high-quality AI-generated video summary.

Phase 4: Building Your First Copilot Agent
An agent is a custom version of Copilot trained for a specific, repetitive task, like a travel agent specializing in holiday planning.
Creating Your Agent (PDF Comparison Analyst)
- Go to
m365copilot.comand click New agent. - Use the Agent Builder to describe your agent. For example: "Create an agent called 'PDF Comparison Analyst'. Its job is to compare two PDF documents and explain differences... Start with a summary table."
- The builder will auto-generate instructions, skills, and suggested prompts.
- Fine-Tune Your Agent:
- Set Think Deeper Default: In the agent settings, toggle on Use Llama 4 Maverick (Think Deeper).
- Edit Instructions: Use hashtags (#) for headings and hyphens (-) for unordered steps. Numbered lists enforce strict order.
- Add Knowledge: Upload example files or connect to SharePoint. Use this to give the agent your tone, style, or specific templates.
- Set Suggested Prompts: Create pre-built prompts to save time for you or your team.
- Share: Share with colleagues. The agent inherits their file permissions.
- Using Skills: Add skills for specialized tasks. For example, a "Contract Comparison" skill can auto-extract specific data (e.g., payment terms, liability caps) when comparing supply agreements, ensuring the agent focuses on the right details for that specific task.

Key Takeaway
An agent is powerful because it gives consistent, structured, and pre-trained responses. It eliminates the need to write a long prompt every time you perform a repetitive task. The agent's instructions act as its brain, ensuring it follows your specific workflow.

In this 1-hour co-pilot course, [music] we will see the following. First, we will have an introduction to copilot
where I'll show you how to prompt. Then, we will dive deeper into co-pilot in Excel. And then we'll dive into copilot
in teams. And the last segment of this video, actually half of it will be how to create your first agent, what is an
agent, how to use a pre-built agent. You will love this video. Hello everyone. I'm David Foron. I'm a Microsoft MVP.
I've trained more than 165,000 people [music] on the co-pilot topic. I'm a LinkedIn learning instructor and more
than 10 million people have watched this YouTube channel. It's insane. I know I like it myself. I'm very proud of it.
And uh in this video, what I did basically is I took my most popular video and I bundled them together and I
adapted it. I edited the videos. So I removed all the stuff that were not, you know, copilot evolved very fast. that
were not, you know, useful anymore. And uh let's get going without further ado. Timestamps down below in the description
as usual and enjoy the free course. Cheers. The first phase is that I want you to pick a task. And right here, my
task is that I have two sales PDF that I receive in my inbox every week and I have to compare them and analyze them.
We are in the slice slice baby, my fake Pizzeria. And let's use Copilot to compare these PDFs. Okay, so I'm in
m365copilot.com right here. I'm using the business version of Copilot. As you can see, I
have my green chill at the top that says enterprise data protection applies to this chat. Okay, there's multiple way to
access Copilot. I just go to m365copilot.com. You can use it in Microsoft Teams as
well. Okay. And I attach my two PDF right here by clicking on the plus and upload images and file or add work
content. Okay. I will hit send and basically I ask copilot to compare these PDF. Okay. And you can see at the top
left I've picked the think deeper model. Okay. You might be overwhelmed already. You're like Dave that's a lot of
information. It's easy. m365copal.com. Pick the think deeper model and attach your PDFs. And what I want to show you
here is the results of my prompt. Okay? And we'll dive deep into the prompt just in a few seconds. But look at the
results. I've compared my week one PDF with my week two uh and you can see the changes right here. And something I've
asked to copilot as well is to reference the page. So I've done all of that directly in my prompt which we'll get
into in just a few seconds. Right? So copilot went in it made the table right here because that's what I asked in my
prompt and basically I asked a uh threeliners after the comparison. Right? Super super interesting. So let me look
at the prompt right here. uh I used the goal context expectation source prompt formula right so I gave it
first a goal compare these two weekly reports the context I said that I own a slice slice baby pizzeria and every
morning I receive a report the expectation I said give me a table with these columns right with these columns a
change a page reference etc okay and I told it what to cover that's exactly what copilot did and then I put the
source I attached two PDFs for the weeks blah blah blah right and then I attached it to PDFs right we picked the think
deeper model that's very important you will get way better results with that okay so that's the first task that you
were able to do with copilot and how did we do that we did that with the goal context expectation source prompt
formula and you can download this cheat sheet right here was downloaded by more than 10,000 busy professionals like you
and at the top left you see that we have the prompting framework laid down there download it it's absolutely free link
link in the description down below and enjoy. [music] And that's your first step into Copilot,
learning how to prompt. I tell you, the results will be much better. Let's get to phase two. So, we just learned how to
prompt. And you can see here, David Fortune, which is Marcus right here. He sends me an email. We're in Outlook. And
with the free version, you can click on the co-pilot button at the top right. It will open a pane like that. And you will
see right here the subject of the email will be taken into account. So copile as the context of this email and let's
reply to this email together. All right. So I wrote a prompt right here. I will just hit send. I kept the auto model
right here. We don't need to think deeper. And look at that. Copilot is just answering to this email again. So
real tasks, real prompts right here. So Copilot gave me two version. How cool is that? the f the full reply and then the
thumb reply. Why is this? It's because I customized my co-pilot. And with this example, I didn't want to show you that
you can answer to an email with copilot. Yes, it's useful, but I want to show you the custom instructions. So, I gave some
instructions to copilot. If I click on the three dots right here, and I click on settings,
you will see in personalization, I personalized my copilot. Click here and you see I have the custom instructions
turned on. So what it does it add details about my preference. So every time uh it will take these custom
instructions into account. Sorry I kind of lagged right here. Edit instructions. And you will see that's what I put right
here. I said hey when I ask you to draft or reply to an email always give me two version in this order with no preamble.
Right? There's no preamble. You can see in the back right here uh I say the version one, the complete email friendly
and human blah blah blah and the version two. Okay, so you can tailor these custom instructions and copilot will
take them into account every time and you see the results right here. The version one, the version [music] two,
you can make this how you want. But I thought that was very useful. So phase two, make sure you customize your
co-pilot. Okay, so if you've been thinking, Dave, there is a lot to learn with Copilot. You know what? [music] I
totally agree with you and that's why I made my course co-pilot essentials from AI beginner to proficient. It was
followed by more than 3,000 busy professionals [music] like you. It has a 14 days money back guarantee, no
question asked and it will take you step by step [music] all of these subtle things that we have seen so far. How to
prompt using the goal context expectation source prompt formula with like thousands of examples. How to
compare PDFs, how to analyze PDF, how to make sure you have the best prompt possible. And then I will also show you
step by step how to customize your co-pilot and get the most out of it. And we finish the course with a step-by-step
module on how to create your first agent. But I will also show you a glimpse on how to create your first
agent in this video. So now let's get to phase three, how to use copilot in your 365 apps. Okay, this is probably my
favorite phase. So lots of people don't know that you have copilot into your 365 apps, but it depends on your license.
Okay, some people with the free version will have that, some people won't have that. Okay, so when I open my copilot
right here, I need to make sure in Excel that I have the allow editing mode. And you will see this is wild. Okay, I will
put in my prompt. Okay, and uh I'll try to make this a little bit bigger here. I will say pull the daily sales table out
of my weekly report and put it into this sheet. Okay, and then I put a kind of detailed prompt. And what I'm going to
do, I'm going to click on the little plus right here, and I will attach my weekly sales report. All right, as you
can see, I attached my PDF. Need to make sure I have the allow editing mode. Again, you should have it. If you have
the free version of Copilot, uh if you have the paid version, you surely have it. And then one thing you need to do
that's really useful, you can pick the model once again. Okay, if your company has Claude available, pick CLA. If you
don't, pick GPT 5.6. If you have the free version, I don't think you can pick a model. That's fine. Leave it on auto.
It should work. And you know, remember I receive this weekly report every week in my inbox. And now I want to craft an
Excel based on this PDF. So that's why I send this prompt. And I'll get you back to with the results in just a few
seconds. All right. So I just opened the PDF right here. And you can see on the
second page, I have this table right here. And you know like me, like how complex it is to copy and paste into
Excel. Always bugs. You can see right here in Excel. Let me make this a little bit bigger. Copilot just analyzed my PDF
and it created a daily sales table right here. Right? Super super cool. And you will see uh right here it's pulled from
my data. And then what if we want to make a chart out of it? We just ask copilot. It now has the ability to make
some actions into my Excel file. So I will ask the following. I just asked make a sales evolution chart using the
selected tables. Make it colorful and insightful so it's easy to present to my boss. Also add a few lines of comments.
So now copilot as the PDF as a context reference. It also has this table that it put in Excel and it's so great
because it will be able to craft something directly into Excel then that I need to review of course. And I'll
show you the results in just okay one second. All right. So, in the right pane,
Copilot tells me everything that it did. I highly advise that you read it. Let me click done right here and close the
co-pilot pane real quick. So, I have my key insights right here. Okay. It gives me some great insights. Of course, it
tells me, hey, the is average ticket is Saturday. Okay, so maybe we need to do something on the Saturdays. And if I
look on the right, look at that. I asked it to make it colorful. I have my sales by date and I have my number of orders
on the right right here. So it did a combo chart based on my data right here on the table right on the sales table.
So I know this is painful to make these kind of charts in Excel. I've spent the last 10 years 40 hours a week in Excel.
Poor me. And I also know that you don't know that you could do that allow editing with even the free version of
Copilot. Okay. So so far in this video we've seen quite a few things. Huh? It's probably overwhelming. We've seen the
goal, context, expectation, source, prom formula. You can download the cheat sheet that will give you everything that
we saw so far. We saw that you can put the custom instructions into Copilot to draft two version of emails by instance.
And we also saw that copilot in the 365 apps is available. I took Excel as an example, but in Word and PowerPoint,
it's the same. It [music] can do amazing stuff. Okay, let's get to Copilot in Excel. I have five tips for you. The
video says seven Microsoft and Copilot changes very fast. So I had to take out some tips because they removed the equal
co-pilot function. So let's go into five tips of co-pilot in Excel. Do you like my deep morning voice by the way? All
right, let's get going. Tip number one, you have an upcoming meeting with your boss and you want to show the data. You
want to show who are the top salespeople. So you have a data set here from your coffee shop and you will click
on the co-pilot button right here and then you will make sure that the allow editing mode is turned on and you will
do this prompt here. Build me a sales dashboard from this data. Show the top five sales people. And by the way, while
this load, I made an ebook where you have all of the prompts and a stepbystep guide for all of the tips in this video.
You can download this ebook down here in the description. You have a link. It's free [music] and it is my pleasure.
[music] Just like that, after 4 minutes of recording this video, Copilot came up
with my sales dashboard. We can make it a little bit bigger. It used my company's branding as I asked in my
prompt. It told me everything it did. Please read it. It's important. And you can clearly see that my best performer
here is Capuccino Kathy and we have the sales by product and we have all kind of charts that we can play with. Tip number
four here. I'm sure you always have some lists like that with the full name, but you will want to split the first name
and the last name into two different columns and this can be a mess sometimes. So my first general advice is
that you should transform your data into a table. This is not a table right now. How to do that? You just select your
data and you can go into insert and click on table right here or you can press on CtrlT on your keyboard. When
you get this question from Excel create table, where's the data from your table? Make sure you check my table as headers.
You click okay. And what this does, you can see at the top I have the table design is that my table is now a
structured data. So it's easier for Copilot and AI tools to understand my structured data. I can even name my
table. I'll call this full name and phone number. Okay, here we are. So now my table has a name and copilot
understand that it lives. And this applied for all of the tips that I showed you before as well, just that I'm
integrating it right now. Okay. And now my goal with this will be to go to copilot and I will split the full name
column into first name and last name. Make sure again that you're in the allow editing mode and you hit send. And it
should be done in just a few seconds. And here we are. Copilot made the column C and D. And you can see here if you
click in the cell right here on C2 there is a formula that has been used. So make sure you validate that of course. But
then if you want to get rid of this formula because you want to delete the full name column, you can pick all of
that. Ctrl C to copy, right click and then you will paste values. This will get rid of the formulas. So that way
when you delete the full name column, the first name and the last name will remain. You can click done here. And
here we go. We have a brand new listing and that's so great. Tip number five. I get this asked all the time, Dave, how
do I remove duplicates? And I've seen some horror stories. And if you've been following this video so far, I mean,
what's next? We we do Copilot, right? So, we'll go to Copilot and we'll say find the duplicate rows in this table
and remove them. Make sure you pick the cloud model again or GPT5.5. And you will see co-opilot will identify
these duplicates and it will remove the rows. So we can see here we got Olivia Bennett on row two and on row oh it just
disappeared 26. And here we go. Copilot is doing its work. Um you should validate but honestly this works pretty
well. And once it's ready you can click on done at the bottom and there you go. Tip number six. I saved so many hours
for my previous colleagues by showing them this tip. It's actually one formula that is pretty complex in Excel and I
think you will love it. So, you've probably been matching some reports, some listings together. So, let Copilot
do the heavy lifting for us. So, we have our customer list right here, remember? But we have the phone number missing in
this one. But we also have one important information, the total orders right here. And in the previous sheet, in the
sheet full names, we add the names of my customers and their phone number. But we want to attach the orders number as
well, but we don't have the information in both sheets. So, what we do, we'll want to bring the phone number into this
list right here into the red column. And Copilot can do just that. uh if you're familiar with Excel, a quick XLOOKUP or
if you're an OG uh VLOOKUP could do that, right? So, I will just ask Copilot, pull the phone number for each
of my customers from the four full names sheet. Okay, I just specified. So, make sure you're really uh clear and really
specific with your prompts so you have the better results on the first go and Copilot should be able to do that.
Here we go. Copilot made a formula if error. Uh, so if there is an error, if Copilot
doesn't find it, it's going to write not found like it wrote right here. Pretty cool. I'm going to click done here. And
you can then audit the formula. So, it made an XLOOKUP formula. And I will highly advise if you don't know what I'm
talking about, if you're like, "Oh, what is XLOOKUP, Dave?" that you master this formula before having co-pilot do it for
you. But uh because you can then act on the formula and always double check it. But you can also double check it. Let's
see. Olivia Bennett 202555147 202555 from the other sheet with Olivia Bennett. Let's do another one. Mia
Sivven 21355. Mia, where is Mia? Right here. 21355 0155. Once again, if you want to learn
Copilot step by step and save hundreds of hours at work, make sure you have a look at learncopilot.ai/masterclass.
My [music] signature course, Copilot Essentials from AI, beginner to proficient. It is amazing. I swear. Tip
number seven. I'm sure you have to do some data analysis and you use pivot table or if you're not using them, you
might be afraid of them. But don't worry, I got you covered here. So, we're going to ask Copilot create a pivot
table on a new sheet showing the total sales product and make sure to add a region as a slicer and a column that
shows each product percentage of grand total. Let's see what Copilot does in just a few seconds.
Here we are. Copilot took just a few seconds full transparency before recording that I forgot to pick the
model and I left it on auto and co-pilot just crashed. My Excel just crashed. So it's really important that you pick the
right model. Okay, let me shut down this pane right here. And now we have a beautiful slicers. If you're not
familiar with slicers, you can click on it, go to slicers, and change the color if you want. Right here and pink. Here
we go. Or this is orange. And then we can filter downtown, rural, suburban, uptown or you can shift here and then
you release and you can see the percentage of grand total that I asked Copilot to calculate automatically
adjust based on my filter or my slicer I should say. You just saw me mentioning my paid signature program, Co-Pilot
Essentials, from AI beginner to proficient, which is a course that has been taken by more than 3,000 busy pros
just like you. And in this course, I make a lesson about co-pilot in teams [music] and uh I've put it right here in
this free course of 1 hour. But basically, [music] if you want to learn deeper and make
sure you're ready for your next promotion, go to learncopilot.ai/masterclass
AI/Masterclass [music] paid signature course followed by more than 3,000 people. I'm so proud of this
course. Imagine if you add this video right here for free. Imagine how good the paid stuff [music]
is. All right, so let's get into Copilot in Teams. Copilot in Teams. So, full disclosure, you will need a paid M365
C-pilot premium for any of the tip that I show you. But if you don't have a paid license, please watch because it's very,
very strong. So we are in teams right now and I'm going to create a new event. So I'm in my calendar and I will create
on new. I will click on new I should say event. Okay. And then today June 19 I will have a quick catch up quick catch
up regarding the next webinar. Okay. Quick. There you go. And uh this is pretty basic so far.
We are creating an event today at 11:00 a.m. I will set this to be only 15 minutes and you will see it's crazy what
you can do with this. Okay, here we go. I will invite my assistant. There we go. Gra. And uh now what's very important is
that you check teams meeting. Okay. And one thing we are going to do is that we are going to add a quick description. A
very quick description right here. I will say I gran quick catch up for the next copiloted webinar next week. Let's
discuss the following small talk feedback on the last webinar to-do list for the next five minutes. Okay, you can
even add an agenda here that will be useful for the facilitator agent. I will show you just that in just a few
seconds. Here we go. I added my agenda right here. And now what we will do, you will click on options right here. So
before you uh set the meeting, it's very important that you do that options. Then you will go to recording and
transcription. Okay. And then we will turn on the record and transcribe automatically. Copilot needs the meeting
to be transcribed to work else it won't work. So we can either decide to record and transcribe or just transcribe. Okay.
So we will make a transcript. If we just transcribe and if we record and transcribe it will going to record as
well the face. Okay. And now it's very important that you set the language. I will put English Canada. I've seen the
zestrous result. If you don't put the right language here, okay, then you scroll down a little bit and then you
see all our co-pilot during and after the meeting. Uh here we go. And I will turn on the facilitator agent. Okay. The
facilitator agent, I will show you what it does, but it will add a co-pilot agent to the chat and it can do tasks
based on your agenda. It will warn you, hey, there is 15 minutes remaining on the meeting, etc. Okay, so I will apply
that and I will show you now. Okay, we will we will send the meeting to my assistant and once we get into the
meeting, I will show you what copilot can do. >> Morning.
>> Hey, how you doing? Okay, obviously I won't show you the whole meeting, but you can see at the
top left I asked uh for the meeting to be recorded automatically. So best practice is that you tell your uh
friends, your colleagues that the meeting is recorded and you ask them, hey do you does it matter to you like do
you mind? Okay, it's very important that you do this. And also, I got tons of people asking me, "Hey Dave, can we set
up automatically that every time we start a meeting that it's recorded automatically?" You can't. You have to
set it up by meeting or if it's a recurring meeting, then you can. It's going to put it on for the whole
recurring meeting. So, I'll show you quick takeaways of the meeting and then I'll show you what Copilot does with
this. And I realized what I did on one um one I had I had overedited the hook. You didn't
like >> uh I think for uh before the meeting you could maybe review the the stuff that we
have on the on the previous webinar, right? So if there was like questions >> like the spreadsheet and stuff.
>> Uh no, not the spreadsheet. I've prepared something. I'll share it to you. I'll send you a link. So, you just
saw what we discussed in the meeting and how Copilot summarized it in the recap that I will show you at the end. Okay?
And now I want to show you what you can do during a meeting and what the facilitator agent can do during a
meeting. Okay? Let's get to it. >> All right. So, just for the sake of the recording, the the facilitator agent
told us uh that the meeting has reached its midpoint, which I think is great. I love talking to you, but uh [laughter]
>> it's Friday. going to go in co-pilot at the top and I will ask the following. Um, so you can see here at the top that
the design is still the old design. So we have the work and the webs tab still. You might see work IQ when you watch
this video. And I'm just going to ask right now to copilot. Oh, and you can see the facilitator agent said five
minute left in your meeting. >> That went fast. >> Yeah. So I will ask to copilot, can you
recap in two lines the first five minutes of the meeting? I'm not sure I understood properly what was said. And
this is personal to you by the way. So people don't see this. This is your personal co-pilot. And you will see uh
Ga and I we discussed this during the first 5 minutes of the meeting. So if you miss a meeting, let's say you missed
the first 10 minutes, you can just ask that. You didn't even need to be there. The uh co-pilot recorded and transcribed
and it will pull the data from the transcript itself. Right? So you don't do that in the chat. You do that into
the co-pilot button. And again, you need a paid M365 copilot license to do that. Okay. Now, I will go back to the chat
and you will see the facilitator and everything what it said uh during the meeting, etc. Okay. All right. When the
meeting is done, you will receive a notification in Microsoft Teams and you can see right here I have a recap. I can
either click here or at the top on recap. It will bring me to the same place. And you will see I have the
beautiful recording here of the meeting. And to the right I have the AI summary that is generating right now.
Here we go. I didn't wait long enough, but you will see right here I have the meeting notes and you will see
everything that we discussed even with the time stamp. If I click here at 3:22 will bring me to the recording here.
Click >> over. >> Here we go. That's directly
directly at the timestamp that we discussed this. If I click here on the arrow, I see even more details. All
right, more details about what we said. So, that's the meeting notes. It does that just automatically. And if you
scroll down, we have the follow-up task as we discussed in the video. Uh I need to review the updated videos from Gran.
Uh I and then Gran need to help me prepare my next webinar. We have all of these follow-up tasks. Okay. So one
thing that is pretty cool is that you can go to the transcript right here and you can also download the transcript. So
if you want to download the transcript the whole thing and make an agent which we will see how to make agents in the
next module. Uh make an agent based on a transcript that will transform it into a summary email to your boss. Make an
agent that will trans transform a summary into a template that will respect a specific guidance by instance.
That's super interesting. And one last thing that I personally don't use, I prefer to make agents to do that, but
you can go to custom summary and set up a template. Okay, I didn't use that. Honestly, I think it's more useful to do
an agent to do that. Okay. Uh, so that's copilot in teams. But one thing that is brand new is the video recap. And I
thought at first that it will be clunky, but I will let you hear just a few seconds. And this is very, very good, my
friend. Let's listen to it together a little bit. Grain reflected on her improved editing process and readiness
for upcoming projects. Here's how David described the course's success and upcoming plans.
>> Honestly, uh I think it's um and we're going to update the next one, too. So, in the next week, it's so good. It's so
good. I thought it was going to be clunky, but in just 2 minutes, I just recaped a 20 minutes meeting, right? So,
pretty useful. And one more thing I want to show you if you are using One Note, I'm in One Note right now. I created a
new page and if I go on to meeting details right here at the top it's linked to my Outlook calendar. It's
linked to my Outlook calendar and you can see here I picked today's date June 19 and I will click here quick catchup
regarding the next webinar that was just the meeting that we were in a few seconds ago. I click and you can see it
generated all of my notes right here. So all of the nodes that were in teams just a seconds ago, they're now here to live
forever. And I can modify them. I can say hello, hi, bonjour. You know, you can do all of these changes directly
into Oneote. I'm a big fan of OneNote. And uh there you go. So your notes are now integrated in Oneote. And one last
thing I'm going to show you, I forgot. Okay, let's go back to Copilot in Teams, is that you can ask any question on your
meeting. Again, just like I did in the video, during the meeting, you can ask questions, but afterwards as well, I
click on the co-pilot button and you will see your co-pilot pane open and then you just ask any question. You can
see the previous question that we asked during the video and you can ask even more question or you can play with the
transcript as I just showed you. Take the transcript, send it into M365 copilot. So that was the update for
co-pilot in teams and we will catch you in the next lesson. The last part of this 1hour class co-pilot agents. If you
haven't liked the video yet, please do like the video right now and comment if it was useful. The best part is yet to
come. Co-pilot agent. Let's get [music] going. By the end of this video, you're going to go from never having built a
co-pilot agent to building your own step by step and knowing exactly when to use one. So, it actually saves you time at
work. [music] First, we'll cover what a co-pilot agent actually is with real example. Then, I walk you through the
pre-built agents by Microsoft themselves [music] and then you are going to build your own. Hello, I'm David. I'm a
Microsoft MVP and I've built hundreds of copilot agents and I find that people are over complicating it complicating
it. Yes, that's what I mean. But you will see how easy it is and stick around till the end because now you can also
add custom skills to your agent and you will love what it can do. It changes everything. All right, let's get going.
Let's start with what a co-pilot agent is. So, this is very theoretical. We'll have some examples in like two seconds,
but it's a custom version of Copilot that's trained or tailored to handle specific tasks or workflows. Let me
illustrate right here. I have this analogy that I love. So, you can compare a co-pilot agent to a travel agent. When
you want to plan a trip, what can you do? You can either plan it on your own here with this analogy. It's like going
to a regular co-pilot chat and you know use the regular co-pilot or you can go to a travel agent which was trained and
is a specialist into doing this task of planning a trip. So you can use a specific agent to do that. Okay. So let
me show you some examples directly into co-pilot. I've built some agents and before we build our own agents I want
you to illustrate so you really understand what it is. So it's like an employee. Okay. So here I have the
PowerPoint guru and what the PowerPoint guru has been trained to do is that it should receive a PowerPoint like you can
see I attached here and it will help me prepare for my presentation and you can see how light my prompt is because
whenever I prompt this agent it goes into his instructions that I gave it and it applies an instruction step by step.
So it says hey first you should give a presentation snapshot to the person. Then if I scroll down it should say hey
then you do a deck summary. If you scroll down, you should do a slide by slide condensed summary and then you
will ask a question bank by angle. Okay, so every time I need to prepare for a presentation, I go to my PowerPoint
guru. I attach my PowerPoint and it helps me spitting out some question I didn't think. Okay, that's one type of
agent that I built. Then another one here, uh I'm I post on LinkedIn pretty much every day, sometimes twice a day.
Go follow me there. So I created one which is LinkedIn post from video. And what this agent, what this specialist
does is that it should receive a transcript from one of my video and it should spit me back a LinkedIn post. So
here you can see my prompt. I said make a LinkedIn post based on this YouTube video transcript. I know it's pretty
niche. You're probably not using that, but think about like a Teams meeting transcript. You could adapt this kind of
agent for a team's meeting transcript that Copilot now records automatically. Okay? And then I pasted my YouTube
transcript and I didn't need to clean anything. And what the agent does, I gave it some specific steps. First, it
will give me three hook ideas, you know, to stop the scroll. Very important. And then it will tell me what what it picks,
what's the best hook in its opinion. And it's not perfect, of course. Then you have to adapt. And what I did with this
agent, I gave it some specific knowledge. We'll see eventually how you can add knowledge to an agent. So it
takes my tone and voice. So I gave it some previous LinkedIn post that I did. So the agent understand my tone and
voice. Okay. That's the second example of an agent that you can build. And then a third agent which is the PDF analyst
for Busy Pros. And you will see we will build in this video together the PDF comparison analyst. Okay. So it's an
agent that will help you compare two PDF. I think it will be super useful for you. So look at that. A super bad prompt
because I love to say goal context expectation source. In your prompt they must be thorough. But in this case with
the agent it has some instructions so I can I can be light. Okay. And yeah, so basically I attach a PDF here. And what
it's going to do, this agent, it's always going to summarize a PDF into specific sections. So when you have a
repetitive task, that's when you should build an agent for that. I analyze a lot of PDF. So maybe I want to create an
agent to do that. So I don't have to repeat my prompt all the time. And I have something that is a little bit more
constant. Right? Section one, always start with a TLDDR, too long, didn't read for busy pros. Then it goes to
section two key facts for executives. Right? It's summarized by 10 20 pages PDF with some key facts for executive.
Then a section three deep dive for anal etc. Right? So this is what the agents are. And now we are going to dive into
the second section of this video which are some pre-built agent by Microsoft. Okay. So, I'm right here into Copilot.
And by the way, you can create agents without the paid version of Copilot. But if you don't have the paid version, you
cannot add knowledge. So, it's not really useful. So, I am using here, you can see at the bottom left, M365 Copilot
Premium. I have the paid version of Copilot. And to show you what I'm going to show you right now, the pre-built
agents, you will need a paid version of Copilot. All right. So, one agent that I want to show you is the analyst agent.
So, on the left on your pane right here, you should see just below pinned because I pinned a few things here. The agents.
So, all the agents that I just showed you here, LinkedIn post from video blah blah blah are all here. Okay? And you
have two options here. New agents and more agents. And by the way, if you have the paid version of Copilot Premium, and
you don't see the agents right here, maybe your admin turn them off. Okay? So, you must watch this video till the
end and get a use case to show your admin and be like, "Hey, I want to build an agent for this specific use case. So,
please turn them on right now or uh David will go after you." Okay, I'm kidding. Don't tell them that. Uh, so
here we click on more agents by instance. That's where I want to bring you. And you are into the agent store.
And you have your agents at the top which might be empty if you never used them. Uh, you have shared with you. So
in my business, my assistant, she built some agents for me and for demo purposes as well. And then you have built by
Microsoft. Okay. And that's where I want to highlight one agent that I think is useful. I will click on see more right
here. And you can see there are tons of them. Okay. And honestly, I tried quite a few of them. And uh the best, okay,
that I found is the researcher agent. I went through this one in like tons of other videos. I go through this one on
my paid course essentials from AI beginner to proficient as well. Uh but the one I want to tackle today is the
analyst. Okay. The others honestly uh I think those three are the best. Researcher, analyst, prompt coach. Okay.
Let's go to the analyst agent. So what is the analyst? Analyst. Now every employee has access to an expert agent
able to perform complex multi-step data analysis and code execution tasks. Okay. So in other words, I will use this one
to compare maybe lots of PDFs that has different data point or two Excel files. Okay, to compare two different Excel
files, this can be good. Okay, so you click here on open or you click on add if it's the first time that you are
using this agent. Okay, and now I have prepared some Excel files for you. Uh let me show them to you just quickly.
All right, so I opened two Excel files. The one on the left is the Piggy Beans Cafe expenses. So you have different
expenses with the date with their categories with the amount and the year and the quarter. In the last column here
on the right you have the revenues. The revenues are a very similar data set with some dates, some departments, the
salesperson, the sales revenue, and we want to make an analysis. We want to put these two files kind of together, but
we're not sure how to do that because we have no Excel skills. So we're just ask asking the analyst agent. You might be
thinking, "Oh, but Dave, I could use the co-pilot in Excel button." Yes, you could, but I want to show you like this
agent, this analyst agent was trained to do specific tasks, and I want to show you like an example of that. I think
it's really good to compare different Excel files. Okay, so uh basically I prepared a prompt. Let me show you the
prompt that I've prepared for you. It's a pretty thorough prompt, okay? Because I want to be clear and specific about
exactly what I want to ask the analyst agent. So basically, I said, "Hey, you're a data analyst. two data set are
provided. I want a revenue table, a cost table and here is the task. I want you to clean and prepare. I want you to give
me the essentials KPI. I want you to give me the revenue insights, etc. So, I'm just going to copy and go into my
analyst agent right here and paste it. And then what I'm going to do is I will just attach the file. So I will click on
the little plus right here and I will either uh upload images and file or cl cloud files if they are in your one
drive. Here we go. My files are attached and I will hit send. It will take a few minutes, okay, for the analyst agent to
do its analysis. So you can have a sip, go have a coffee and then we'll be right back in just a few seconds.
All right, it took the analyst agent roughly only two minutes to do this analysis. And you will see, I want to
show you exactly what it did right here. It made me a document, a word document with a revenue versus cost trend. And
you can see I have this chart right here. And based on my prompt, I have my different sections, my financial KPI, my
revenue insights, etc. So, I have bottom three salespeople right here. But if I scroll down, I have my executive summary
and I also have different text you know qualitative analysis of my data and it made different cost breakdown by
category quarterly KPIs etc. So you must be like Dave when do I use the analyst agent versus using copilot directly in
Excel. I will say when you need qualitative analysis, this is very good. And when you have multiple files
together, okay, if you will just want to do a very basic comparison and you need a pivot table, I will highly advise use
the copilot in Excel button. But again, it was just to show you the pre-built agents. Again, if we go into more agents
right here, I highly advise you to try the researcher agent as well to plan your week because it can also research
throughout your old 365 environment, which means it can pull stuff together from the internet. the web and also your
calendar, your teams meetings, your SharePoint, etc. So, it's pretty cool. Okay, honestly, I don't use the analyst
agent that much, but I think it can be useful for some of you that are not really familiar [music] with Excel. So,
now if you're thinking, Dave, this is really cool, but I want to know more about Copilot. Well, I have a free
webinar that I'm hosting, my friend, and then you will learn how to save 5 hours or more with Copilot, and it is a
60-minute. [music] It's absolutely free. You can register down below and you will learn how to prompt the best prompts.
You can you will learn how to use co-pilot in Microsoft Teams to write all your meeting notes for you. And you will
also learn the famous researcher agent that I keep talking about. And I will also teach you how to personalize your
co-pilot [music] and become very very good with the tool in my free webinar. It's in the description down below. And
now let's get into how to create your first agent in Microsoft Copilot. and you [music] will see it's easier than
you think. So, I am in Copilot right now. Again, I have the paid version and I'm going to click here on new agent and
then you will get on this screen. Okay, it's not the best way to create an agent, but I think it's the easiest way
if you're just getting started. So, we are in the agent builder. Okay, so it's just a co-pilot agent. Okay, that's an
agent behind the scenes that will help you build your own agent. So basically if you want to go into more details you
can just click on skip here which we'll do later but now I will just ask copilot to create an agent that will compare
some PDF. So I prepared a prompt for you. Let's read it together. I said create an agent called PDF comparison
analyst. Its job is to compare two or more PDF documents that the users upload and explain the differences clearly.
Every response must start with a summary table of the key findings, one row per difference, with columns for the topic,
what the document one says, what document two says, and why it matters. After the table, give it a short plain
language explanation and a recommendation if one is obvious. Keep it concise and never invent details that
are not in the document. Okay, this last part, never invent, not sure exactly if it's going to work. You need to be
careful about AI results, right? Always double check them. Uh if you tell AI don't hallucinate, maybe it will still
elucidate. Okay, I just left it in there and you will see. It's going to take a few minutes. I'll come back once it's
created, but I will do nothing else. I promise. Okay. All right. So, simple as that. It took
like less than one minute and my agent builder built me an agent PDF comparison analyst. And basically, you can see here
I have different section. Let me just scroll down. You have the instructions, which is very important. We'll get back
to this really quickly. That's what the agent builder built for me. Then if you scroll down, you have the skills. I told
you we're going to see that later at the end of this video. And then you can add knowledge to your agent. Okay, I will
get back to this very soon as well. And then at the bottom, you have the suggested prompts that the agent builder
created for me. Okay, so now what I want to do is just go and click create. It's not the best practice. Okay, you should
th to th to th to th to th to th to th to th to th to th to th to thoroughly I'm not sure how to say that review the
instructions. Okay, you should thoroughly review the instructions. But first I want to show you the behavior of
an agent like this is so easy. I will click create. Then it's going to ask you, hey, do you want to share the agent
with your team? Okay, which you can do, but I highly advise that you review it before. Okay, I won't do that just now.
I will click on start chat and I'm right here in my PDF comparison analyst. I didn't try any of that. Okay.
So, what I'm going to do, I'm going to click here, compare to PDF. It builds some pre-built prompt for me. And uh it
says highlight every material differences. Okay. Amazing. So, now I have two uh PDF document that I'm going
to show you here. The weekly sales. Okay. The weekly sales from my pizzeria, the slice slice baby pizzeria. You can
see here I have that PDF and I have another PDF that was just opened two seconds ago right here. Okay. Here we
go. All right. So, I have two PDFs which are sales. There are eight pages each. And I want to compare them. Okay. And
crazy. I've built an agent that does just that. So, I'm just going to attach them to my pro. Here we go. I attached
them. Okay. And I will let the agent do its work. One thing that is very important. I highly advise that you pick
the think deeper model at the top right here. Okay? See, I have a dropown menu. I see everybody they leave it on auto.
Don't do that. Okay? pick thing deeper you will see much better results trust me my friends I've built quite a few
agents I will hit send and you will see okay so what this agent will help you to do is always to compare PDF together
okay and you will see eventually with the skills what we're going to do is to give some more instructions what to do
when it's a t typical like it's a specific type of PDF and what to do when it's another type of PDF okay super cool
so I I asked in my prompt remember I said hey always start with a summary table at the top always start with that.
So the agent is doing just that. Okay. And if I would have created a normal co-pilot chat, it will not have done
that. Actually, we can see the difference. Let me show you the difference here. I'm going to take the
exact same prompt without using a co-pilot agent here. Paste that. There you go. Put my two PDF. And you will see
the difference. Okay? You will see the difference. It won't be always the same structure just like my agent was
tailored to do. Okay? So maybe you're confused right now. I open a new copilot tab. I create a new chat. See, it starts
with my executive summary at the top. Okay. And then it gives me a table as well, but it's not at the same spot in
my prompt. And then gives me the headline performance, etc. Okay. So completely different results versus my
agent that is right here, the PDF comparison analyst. Okay. And you can see if I scroll down the table at the
top, much more detailed than when I use a regular uh copilot chat. Okay, because it was trained to do that. Okay, there
you go. So, that's the PDF comparison analyst. Okay, but now my agents, I want to fine-tune it because so far we only
use the agent builder. Okay, which is okay. If you're just starting, even you know what, if you're just just starting,
use the pre-built agent for Microsoft. Once you understand how this thing works, start by creating your own agent
with agent builder and then fine-tune your agent to get the better results. Okay. So, what we're going to do here,
we're going to go on the three dots. Okay. I can even pin the agent. Let's pin it. Pin. And then it will appear at
the top here. Right there. We go. PDF comparison analyst. I will click on the three dots and I will edit my agent.
Okay. I will edit my agent. And you will see it will bring me into this configure tab right here. See? So, now I can do
some changes. Okay. So, now you have the name of your agent. I highly advise that you uh actually put a real name. It's
very important because the more agents you will get, the more confusing it will be. And then you can put an icon. And
again, highly advise that you put an icon here. Uh I will upload a quick um I will upload a quick image right here
real quick. There you go. I've put a PDF image because I think it makes sense. Then you have your description. Make
sure this one is great because when you share the agent, that's what the people will will see. Okay? So if you're
creating a lot of agents for your colleagues or even for yourself, trust me, like in in two months, you won't
remember what this agent will be because you will have so many. Okay. Then one thing that is very very important,
remember I told you a you should pick the think deeper model. You have a toggle right here that allows you to set
the model by default. So if you're not familiar, this is LLM, large language model. And the think deeper model here
is just much better. It takes longer for better answers and trust me it makes a world of a difference. Okay, click here.
Then you have the instructions right here. Okay, so when you you see here you have like uh this is bold. This is bold
as well. This is bold as well. When I click in the instructions right here, you see how these are structures.
There's one hashtag here that means adding one. That's mean that's the first thing that the agent will do. Then you
have those asterisk here. This is bolding. So it means that the agent will emphasize
uh this that is in bold. Okay. And then you see double hashtag it means that it's heading to just like in word you
know the titles heading one heading two. So that's important to structure your agent instructions. Okay. Maybe we don't
want to go there just yet. One other thing that is important during the instruction is that if you use an hyphen
it's just going to do all of these steps. But if you use numbers instead it's going to do these steps in a
specific order. Okay? So, it's going to do one first, then two, then three. So, it's very important that you'll be super
thorough with this. Okay? We won't exactly uh do all of these instructions together. But what I'm going to do here,
I'm going to delete here uh the available skill. Okay. Section. But that's one thing that is important. You
can see here, let me hit Ctrl + Z. It says, "Hey, when the user asks compare two PDF or more, run the compare PDF
document scale." Okay, I'll delete that for now because we'll get back to this in a few minutes. But you can add some
knowledge files to the agent and you need to reference it in the instructions. Okay, more on that a
little bit later. What I'm going to do now, okay, I'm going to keep the instructions as is, but just make sure
that these are just like you will tell another employee or a colleague like, hey, you need to do those steps tuck
tuck and be super clear. Okay, you can use you can keep using those like operating principle, interaction guide,
and etc. Okay, but you need to be super specific in these and trust me, you will get back to them and you will uh change
them quite often as you know to get better results. So you will test your agent. Oh, I don't like the results.
You'll go back to the instructions, you will change it, change them. Okay. So what I'm going to do here in my
instructions, I will uh go at the end and I will add this and I will say always end your response with a section
called question to ask before deciding with three questions the user should clarify. Okay. So now I will update my
agents before we go into the other uh other stuff such as the skills and the knowledge. I will update. Okay. And I
will send the prompt again and I just want to show you the last section. So when you change the interactions, it's
actually changing the behavior of your agent. Okay. So here I am right here. You see I created a new chat and now I
have already the think deeper. I didn't change that. It was auto selected because I've put in my options, right?
that it should always be on Think Deeper by default and I highly advise that you do that. Okay, you'll see the results in
just a few seconds. Should not take long, but I want to highlight the very end section that says, "Hey, uh, here
are three questions or whatever." Right? All right. So, we changed the instructions and look at that at the
bottom. The same exact prompt, same PDF question to ask before deciding. Okay. So, think about when you share this
agent with your colleagues, what are the behavior that you will want your agent to do? So you make sure that you have
the best results and you make sure that the agent sends you in the right direction. Okay. So uh as Moz Bros past
the quality reliability, what was the bundle actual contribution margin where the cooler compliance log and point of
service terminal service completed right? So you know we're in a pizzer right here and that's what you can do.
So let me go back to my analyst agent. Click on the edit button. And now we're going to go through the other stuff. But
very important, the instructions part is the most important thing. If you're having bad results, if you're having
inconsistent results, good, go there, change them, follow what I told you. The hierarchy 1 2 3 4 the hashtags here.
When you click on that, the hashtags, it gives you some uh some structured into your instructions. Okay. So, I'm going
to skip the skills. I want to get back to this later because it's a little bit more complex. you can add some
knowledge. Okay. And one thing that I I think was very useful is when I created a comparison analyst agent before what I
gave it is some example. So I will give it three PDF in the knowledge. Okay. You can add some files and it gives the
agent some examples. So I will give it the two PDF and a third document that will be the result. So it says hey you
shall have a look in your knowledge and you have an example of what the output should be. you should follow this
specific template. Okay. Then you have the work content right here and that's a strength of Microsoft copilot. You can
turn on that copilot this agent sorry not coat that your agent that you're building has access to cloud files by
instance. If I click on the plus here and I go to sites I can feed a SharePoint document right here. A share
SharePoint site I should say that contains multiple let's say like policies. Imagine you will have all of
your PDF in a specific SharePoint. You will say, "Hey, can you compare the two latest sales report that you can find in
the SharePoint site?" Let's say they are in the marriage and HR site. Click here. You can see here it's linked. So, it has
access to all the files in this SharePoint right here. Okay. Other than that, your agent will not have access to
the SharePoint out there except if you only put this to on. Okay. Let me turn that off. It's not really useful for
this example. Uh let's say you will create an agent that will emulate your tone and style. You could feed it here
into your Outlook emails. It will search everything and you will say, "Hey, inspire yourself with the tone and voice
of my previous sent emails." Okay? You need to be careful with that. If you want to do the example I just told you
with the email agent, what I will do is I will probably add a few emails into a word document by instance and add it to
your knowledge here. Okay? So you will say hey in your knowledge in in the instructions here you will say right
here in the knowledge you have five emails that I wrote. Inspire yourself from them strictly for my tone and
voice. Okay? Because one thing I see a lot of people do as a mistake is they will just check everything on. And what
it does here is that it gives too much context to co-pilot as I like to say the little Albert Einstein and it can
confuse the little Albert Einstein. Okay? So if you give it too much it can just go into the wrong route. So you got
to be careful with this. But by instance if you want to create a team's meeting uh I don't know like um
uh how do you say that meeting minutes creator you could say oh you are my agent that create meeting minutes. Then
you could maybe feed it into your teams, right? And you will say, "Hey, look at the latest transcript from this meeting
and create the uh the templatized meeting minutes based on that." Okay, I will skip the connectors right here. I
don't want to go in there. Uh the web search pretty basic. Okay, you click and it will allow your agent to go on the
internet. If you don't have this turned on, then it won't go into the internet. The attachments are when you add
knowledge right here. Let me show you here. Uh I will add an Excel file by instance. Oops. Since this one was
already in my one drive, it put it right here. But the attachment should be when you add files that are outside of your
uh cloud. Let me just add here a file. Here we go. I added one of my PDF and it shows here in the attachment. Okay. So
that's that's how it works. So you have your cloud files, then you have your separate like attachments that is just
attached file that is not in your cloud. Same same different honestly. And uh let me turn everything off here cuz we don't
need that for this specific agent and I don't want to confuse my agent right here. We don't need web search as well.
Right? So make sure you're very careful about which knowledge you're giving to your agent. And then the last part are
the suggested prompts. So it's very useful especially when you share your agent with your team. You have some
pre-built prompt, right? And I highly advise that you maybe do a little bit more thorough here. Uh compare these to
PDF and I like every material difference is one of them. focus on key terms blah blah blah. If I add one here, I will say
uh PDF master, you just give me your most important thing about this PDF. Okay, again thing is not really u not
really a great word here, but it will add the pre-built prompt. Let me show you in just a few seconds into um
I can't talk into uh the agent itself. Okay, I'm think I'm tired. It's been a few minutes now that I'm recording this
and I I prepared a video. I'm very proud of this video. By the way, if while we're waiting here, please give it a big
thumbs up if you think that was useful. Uh I think this is very very useful and we're going to dive into the skills in
just a few seconds. Uh but now I updated my agent and one thing I didn't go through is the sharing. Okay, so I just
got this question on one of my YouTube video. You can click share here. Okay, and then you can just type the name. So
I will put my assistant here gran. And if I want to share the agent with her, she can use it, but she needs a paid
co-pilot version, okay, to do that. And then lots of people ask me, hey, uh, the right like let's say I will attach a
shareepoint to my agent. Does this person get the access to the shareepoint? You need it. Basically, the
agent will inherit the accesses of the files that are uh available to them. Okay, so that's important. You can read
a little bit more uh on this and you can pick I think that's brand new can edit or can only chat with the agent. So if
you trust someone say hey I created this agent can you pick it up and and change it. I didn't actually know that they can
edit the agent as well as chatting and you can send them a notification basically. Okay so I will just add
poor grand like oh what's this agent? What what's going on here? Okay. And then uh you can basically uh close and
then you will go to the agent. Now the the icon didn't update but my agent is pretty much ready to use. And now we can
test it. Okay. We can test it. But uh before testing it, we just tested it like twice. I want to show you the
skills. Okay, the skills. And just before I'm asking you again, please like this video. It will show it to a lot of
people that has similar interest as you and we'll let the algorithm do it thing. Okay. So, I'm just going to edit the
agent once again. And what I'm going to do, I'm going to uh tailor my agent. Okay. So, this is brand new. So, before
you will create an agent like let's say you will analyze financial statements, compare financial statements. You will
create an agent that will go okay, it says is the PDF financial statement compare comparison. And then if you will
need to compare contracts, you will go, okay, I create a new agent PDF contract comparison. uh you know and you will
create one agent for one specific task. It's very important. But now what you can do is you can branch out your agents
uh for a different type of PDF. Okay. So I have the PDF an comparison analyst but then I can add some skills. Okay. Uh
Microsoft added the compare PDF document skills here. But you know what? Let me delete it because I don't know what's in
this skill right here. Delete. And I will add a new skill. So a skill is to tailor your agent. Make it a specialist
but only in different only in specific use case I should say. Okay. So every time you prompt your agent it's first
going to go into through all of the instructions right and then if you prompt it to use a specific skill it
will route the agent into this skill path so it doesn't read the instructions so we don't have very very long
instructions all the time and the co-pilot the little Albert instant gets confused throughout the way. Okay. So,
it's uh it's it's maybe not out for you just yet. Okay. I just see that it's in preview right now. So, we're going to
test it together. Hopefully, it works. So, I'm going to click on the arrow here. I'm going to create a skill with
the chat right here. Okay. So, it puts here on the left. Uh I will it it just puts the the pre-built prompt. I
prepared one for you. I will paste that. So my PDF comparison I wanted to sometimes analyze financial statements
and sometimes uh analyze contract. So I said create a skill called contract comparison. Okay. And the only thing I
want to highlight here it will gives auto renewal termination notice and fees and end with negotiation points. Okay.
So I will hit send here. Hopefully it creates me a skill and it works. Okay. We'll see. We'll see what it does. But
it should add a skill here. Else we're going to do it manually. Okay. And we need a MD file. MD stands for markdown.
And remember, these are ashtags, okay? To structure your skill. We'll see. Uh, and I will get back to you in just a few
seconds with this new skill. And then we're going to test it. And then I'm going to say goodbye. The video is done.
Be right back. All right. So, Copilot created the skill for me. Right. So, uh, look at the
instructions. It added a section skills. So you can use the agent builder. It seems to do a great job. We'll test it.
We'll see. It says when the user compare contract agreement or quotes, run the contract comparison and use its required
table order, lock in flag, and negotiation point ending. And it put this skill right here. Okay, just if you
want to double check what Copilot did, you click on the skill right here and you will see the instructions. So we
have a very similar window and it says everything it should do. Okay, liability cap, etc. So I highly I double down okay
I don't highly I double down on understanding the structure with the hashtag it will all come to that and you
can see parameter etc. Okay. So, let me go back here. The skill is like a subset of instruction. I think it's the best
way to say that. Okay. And you will see again as I said skill use the contract comparison skill when the user has to
compare contract agreement or quotes. Okay. Uh and then we could have another skill you know when it's for the sales.
Okay. So, let's try it. I will update it and then I will put my prompt to compare the contracts. Start chat. Okay. And
then I have two quotes. Let me show you the two quotes. The contract A right here. Mozzarella supply agreement. We're
in a pizzer remember. And we have the contract B right here. Okay, which is another quote Mozilla supply, but it's a
different vendor, etc. Okay. So, I'm going to do uh I'm going to attach those two PDF directly into my PDF comparison.
I will say compare two PDF and I like I won't even put that compare these two PDF contracts. Okay, I will put
contracts just in evidence and you will see if copilot realize that it should take the skills else will just force it.
But I said contracts. Okay, so it should understand, oh, these are those two quotes. That's what the skills was
designed for. I didn't review what the skill was. Uh, and I feel like I'm talking a lot, so I'm just going to
pause here and we're going to assess the results in just a few seconds. [laughter]
Okay, so we're one minute later and this has worked. It has triggered the skill contract comparison right here. So, it
still did a table like I asked uh initially, but it made me some new stuff like the payment term, the exclusivity,
the liability cap, which is everything that was listed into the skills. And if you scroll down, remember I asked, hey,
can you end up with negotiation points? So, it worked. Okay, I didn't set up the skills for the weekly sales, but we
could have done similar. So we again it's a subset of instructions and we route copilot when it's only a specific
type of PDF. I really hope that you enjoyed this free course and you had a peek at my different outfit throughout
the course. What's the next step? Well, if you want more, it's super easy. I have a threehour paid signature [music]
course that you will learn way more than this onehour course and that I keep updated all the time. It's lifetime
[music] access. There's a 14 days money back guarantee. If you buy and you don't like, you ask me for a refund. I didn't
really quite have some refund in the past. And else the other step is that you like this video. So if you want my
course, it's right here on the screen somewhere. I will add another video as well that if you want to watch something
else, thank you so much for making it till the end. And if you made it till the end, put something put a comment,
not something, put something below and say finisher, okay? because you are a finisher of this free course. Catch you
very soon, guys. Thank you so much.
The GCES formula stands for Goal, Context, Expectation, and Source. For example, to compare two weekly sales PDFs from a pizzeria, you would state your goal (compare reports), context (I own a pizzeria), expectation (create a table with columns), and source (attach the PDFs). Always select the Think Deeper model for complex tasks to get significantly better results.
Go to Copilot settings, navigate to Personalization, and edit Custom Instructions. For example, you can set Copilot to always draft two versions of an email reply (a full friendly version and a shorter version) without any preamble. This ensures consistency and saves time on repetitive communication tasks.
You can ask Copilot to create a sales dashboard, split name columns, remove duplicates, perform XLOOKUP, or build pivot tables. Always convert your data into a structured Excel Table (Ctrl+T) and name it so Copilot can understand your data more easily. For pivot tables, select the correct model (e.g., GPT-5.6) to avoid crashes.
You need a paid M365 Copilot Premium license. When creating a meeting, go to Options > Recording & transcription and enable Record automatically and Transcribe automatically. Also, turn on the Facilitator agent for agenda-based prompts. Post-meeting, Copilot generates an AI summary, timestamped notes, follow-up tasks, and a downloadable transcript.
Go to m365copilot.com, click New agent, and describe its purpose (e.g., 'PDF Comparison Analyst'). The Agent Builder auto-generates instructions and skills. Fine-tune by setting Think Deeper as default, editing instructions with hashtags and numbered lists, adding knowledge files, and creating suggested prompts. Agents provide consistent, structured responses for repetitive tasks.
Agents eliminate the need to write a long prompt every time you perform a repetitive task. They give consistent, structured, and pre-trained responses by following your specific instructions. You can also share agents with colleagues, and they inherit the user's file permissions for secure collaboration.
The course covers four phases: mastering the GCES prompting formula, personalizing Copilot with Custom Instructions, using Copilot in Excel and Teams, and building your first custom AI agent. It also provides a free GCES cheat sheet and a free webinar on saving 5+ hours with Copilot.
