entry I'm doing just one video about data entry everything you need to know about data entry where to get jobs how
uh-huh so what is data entry this is the process of digitizing data by entering it in a computer
yeah it is also the process of inputting and updating information in an electric electronic system
so uh data plays a critical role in driving business decisions in almost every industry today like the healthcare
Retail Finance accounting and government institutions and data entry actually is the easiest way of making money online
um aspiring data entry technicians can access a variety of free or low cost online training programs and courses and
I'm going to show you those courses later and data entry programs provide the technical and soft skills beginner
level professionals need to launch their careers and for instance some of the skills that you you're going to learn
about are typing skills organization skills time management skills communication skills detail orientation
skills soft skills and such not we look into that later okay so people can also learn data research and collection
methods uh just online and also explore how some basic functions in programs are commonly used
so you may ask yourself Leica which are some of the skills you are needed to have as a data entry specialist
number one is your typing speed like yes every data entry jobs requires you to type a large amount of information with
within a tight deadline so your tipping skills should be high so most of the companies requires you to have like a 40
minutes per uh per minute 40 watts per minute that is wpm or others may require you to have even 70 to 90 watts per
minute by the end of the session I'm going to show you some places you can go and test your typing speeds
another thing you are typing accuracy like because data mostly most of these companies use this data to make business
decisions so if you just make a numeric uh mistake if your data is not accurate you're going to misguide these companies
and if the client notices that you will be rated low okay so while you're uh you'll likely need to have fast typing
skills to meet the deadlines also you are typing accuracy should be correct like a hundred percent there should be
no mistakes okay so how can you understand uh how can you make sure that your data your typing accuracy is uh
your typing is accurate that is number one you need to understand that data is very important in everything that you do
always proofread your work before you submit it and if you're tired if you've been working for in a large data you
step away from your work and before proofreading making sure that you have relaxed your mind come back again look
at your work as a data entry specialist ask for more time let's say if you feel like you're in a hurry and also
make sure that you don't have disturbances distractions anything that can make you have cause an error when
you're entering data okay your communication skills are also very important because you'll be
communicating with clients so you need to have a high level of written communication skills and also uh oral
communication skills also you should not have spelling mistakes or any grammatical errors I will show you how
to use grammarly to check grammar errors okay your time management skills because you have strict deadlines when you're
entering data you need to be a very good time manager so some of the ways that you can manage
um create a priority list let's say you put like the jobs that are almost expiring or their deadline are near and
uh deal with that work first let's say if you have multiple jobs that you are working at the same time
uh start working your job with your entering your debtors early uh you need to have some boundaries you know and you
minimize distractions another skill you need to have is the attention to detail so because data mistakes can waste time
and money and lead to poor business decisions as I've told you so there is no room for error so you need to be very
attentive to detail to minimize the risk of Errors okay so you should never put a full stop where they are so they are not
supposed to be commas yeah because you're going to impact the data outcome another skill you need to have is the
ability to research and collect data because so in some jobs you'll be given some data as uh but you're asked to do
more research and add more data there the client let's say gives you a two-page paper and they want a five-page
paper so you need to do more research and collect data uh you understand some basic softwares like Microsoft Excel
Microsoft Word Microsoft PowerPoint Microsoft Office and Google drive to enter data and I'm going to share with
you if some of these skills softwares you don't know how to use them I will share with you by the end of the video
some platforms you can go and just learn about it but also use YouTube because some people talk about some of these
softwares also use YouTube to do more research on that okay so something else you need to also have
an understanding of is database and how database software is structured how special spreadsheets are designed
because sometimes you might find your job dealing with the spreadsheets okay so discretion this is very very
Secrets confidential customers or company data and you should never never disclose the sensitive information
either in your social media either with your computers either with your friends because these people use cyber security
okay so we are done with the skills the types of industries that hire data entry Specialists you're going to get these
jobs in the medical and health Fields administrative Fields accounting and finance governments politics retail
sales you'll get this data from all these different Industries okay and then we have something called
categories of data entry tasks okay so we have data cleansing data classification data processing and data
information stored in databases so that it is accurate and up to date so it will help with the storing information in a
correct way by removing inaccurate and duplicated information this is also called Data scrubbing
okay so which are some of the tasks that you might find in data cleansing and other data entry specialist
CRM updates database follow-up researching information removing duplicates modifying information
correcting information finding and removing errors so those are some of the skills or some of the jobs the tasks
you're going to meet if you're doing a data cleansing task we also have data processing which means you are supposed
to collect and modify information in order to analyze it and use it later so it can be used in storing information
analyzing data filter filtering data and Reporting so which are some of the tasks you will get under data processing data
extraction data capturing entering claims accounting and figures data entry database creating photo or product
editing we also have another category of data entry tasks called Data classification so it is the process of
organizing data in categories based on the properties and characteristics of the items it helps to store that
information by sorting it so that it can be easily accessed and filtered so some of the tasks you'll find on a data
classification are classifying data sorting that into categories that are tagging data annotation data indexing
so you can be asked to convert uh let's say to Microsoft Word to PDF PDF to Microsoft Word to excel to do audio
transcription where you are converting audios to text to do video editing photo editings data typing copying information
from an Unwritten notes to into the computer you know capturing data from photos and formats so after looking at
the categories that you are going to find in data entry which are some of the data entry jobs that you meet or you can
data cleaning so whereby you are given a huge data set and you must remove some certain data from the database that are
not required by the client number two you might become a typist you are given you you are given letters to type
creating mail labels graphs charts and reports okay so you may also get a job in filling forms online you're just
given forms to fill databases to add there and the information they want you to fill in those forms online survey
formats you're given surveys where the companies want you to look at those online questionnaires fill them answered
in in any format they want you to answer and send it back to them you're also going to find some jobs uh that require
you to do data capturing and entering in this we'll have to gather data from various sources such as e-magazines
ebooks websites and fill let's say in an Excel sheet or a Word document processing emails in this you'll be
asked to go through thousands of emails daily and gather data in a particular form in an Excel sheet
okay data formatting is also another type of job you're going to find there and then it's just formatting data uh
and then to make sure that it it doesn't have grammatical errors and then uh we have another one called reformatting
you're given a job and then you are asked to reformat it you must align the data with guidelines and make it look
professional yes and then we have editing you might be given some jobs to just make sure you read the data and
revise it using the correct grammar thoroughly and then we have you can get jobs that need you to do file
conversions whereby you are supposed to convert audio images into a Word file and then also
then images into word will be provided with images containing data and have to convert it into the word format and then
audio to text in this you will have to listen to the audio and type it in a word file uh transcription as I've told
you I also train about transcription you can watch my transcription um training in the playlist and then
product entry you will be responsible for recording the company's products and specialization specifications payroll
entryway by companies will want you to enter their accounts in a systematic Manner and uh so yes
and many more jobs you're going to meet in data entry as I've told you it's not a hard skill for you to learn when it
comes to converting these uh latest PDFs to word converting uh word to PDF to excel you'll find this uh some of the
softwares that can assist you in doing that just online very easily so I want to show you where you can get some data
entry jobs and also where you can start practicing your data entry skills if you feel like you have all these skills I've
talked about up here and you are good to start data entry jobs I want to show you where you can go and do some practice to
check your typing speed your grammar errors if you can make grammar errors and everything else so let me start by
showing you some places or some websites you can go and do some data entry practice the first one is
aptitudetest.com so you just go and search for aptitude test.com so it's a data entry test
you'll be given names addresses for numbers Security numbers company names dates Financial numbers vehicle license
plates so that they can see if you can pass your data entry skills so all you do you scroll down to this practice data
so here it is you're given an introduction where it's a simulation of a data entry skill test and you'll
measure your data entry typing speed and accuracy so this test has a 120 second time limit so let's begin and see here
it is so click here to begin the test you just follow everything I'm doing five four three two one so we start we
you click enter and then you continue you click enter continue hashtag cost so you type it exactly as it is
there if it's capital letters you write it in capital letters if there is spacing you write it as spacing
dot com and you continue clicking enter until you finish so let's not waste time there so that you have seen that the
next website I want to introduce you to is this website called the practice test so you just go and type the practice
test.com slash data entry slash I hope you can see my screen you can also just go and just type it the way it is then
you come down here you see they are giving you all these practice tests so let's say you want it's money drills
license number test credit cards you click on the one you want to work with so let's say for example I want to write
the license number tests so once you click on it it will take you to the platform where you can go in the uh
write some of the skills yeah their license number tests so you make sure you like you read the instructions and
zero eight next so that is all you do and then you click next record end test and then you check your accuracy and
everything else okay if you want to go back and try another test you just go back let's hit credit card you want to
learn you want to practice on uh putting on uh credit cards you come down here and then you start
as you can see here now this one you just start immediately the test begins when you start typing so once I start
typing these are the numbers here on the left that I'm going to to uh start typing so 5504
seven Dash okay okay some something I've done there okay that is underscore that's what it
seven zero three three and you continue you continue doing it so yeah it will give you your words per minute and your
accuracy and everything okay let's go to the next website that you can you can use to do your data entry
practicing it's called gonna type.com gonna type.com so here is the test you just scroll down so at least this one
for the first two you're going to get a numerics and uh some words the second one is just numerics but for this gonna
type it's now for words so for if you want to know your your how you can your numbers your words per minute and this
and then after that 60 seconds it will now determine your words per minute the words you are able to uh type per minute
so you can keep on practicing with this practice practice practice until you make sure you are like at least 40 words
per minute 50 60 70 until 90 watts per minute okay so those are the three practice uh websites I wanted you to I
want you to go and start doing your practice there so if you want to go and do more research on data entry let's say
you need to go and take a course in data entry you want to know more about PDF and image file conversions and how to do
them let's say you want to get more of that I want to show you some of the places you can go and learn I'll
actually attach the links of the practice tests The Links of this universities or some websites that are
of courses in the description box okay so this is a course from udemy data entry course for beginners and what you
learn either how to become a data entry as a complete beginner yeah how to do that Android web research PDF image file
once you sign in you are going I guess udem usually has a 14-day uh you can learn for 14 days without actually
paying the cost okay the second one is here it's a complete data entry skills course land that are entry skills so
you're going to decide which one you want to do you'll just look at the course content and see like which one do
I want to do uh-huh the other one of udemy is this complete Advanced data entry application
in Microsoft Excel so this one you can come and learn it later on after you've already started your learnings and then
you now come and do all these a complete Advance data entry application in in Excel another course is this using this
so yeah so you will decide which one you want to do this one is for accounts for the people who are in accounts it will
show you on how to do these things and then the other platform is LinkedIn learning let's say uh you don't know
something about Excel and you want to do this Excel 2016 essential training the best thing this course costs around 4
200 but the best thing is your first month is free so you can buy you can now buy it but if you don't you because you
don't have the money because your first month will be free once you sign in make sure you finish the course within this
one month so that your money will not be cut from your credit card so here as you can see they will also be talking about
entering data exploring data end-to-ended editing techniques everything to do with data here
another course you can try learning about is the Coursera Excel skills for beginners let's say if you don't know
how to do Excel and then you can enroll it for free and then the best thing about courses that they usually have
some financial aid available and then another place you can go and learn is a LinkedIn learning they have
these Excel tips and tricks you can also try and go and check this out because I will also show you about skillshare
you go and sign up this is a they also have a one month free for skillshare so let's say in this one month for free if
you're signing up and you attach your credit card immediately you're finished learning cancel your credit card so that
after one month your credit card is not uh charged of the amount of money that let's say you have attached for this uh
skills so this is bridge is Excel spreadsheets Made Easy they teach you about Excel spreadsheet if you want to
know about that and then Excel for the real world gain the basic uh skills of Microsoft Excel
anyway all these platforms are for anyone who wants to uh advance advance your data entry skills but from what we
have learned this is we have seen that this is something you can start if you already have the Microsoft Excel skills
you already have the Microsoft Word skills this is something you can start actually as of now if you are a computer
literate without even advancing to these courses these are courses was just let's say someone who doesn't know anything
you just know how to use computer but then there are some things you don't know how to do so you can now try these
grammarly and this is used to check your grammar errors when you are typing okay so it will assist you with because
sometimes you might not know where you've put your comma your full stop so it's going to assist you in taking all
those grammar errors so you can sign up and once you sign up you can use the free app but the free
one doesn't check the grammar errors thoroughly so what I advise is we have some Kenyans who sell this grammar
Accounts at around let's say if it's even 250 200 Bob 300 Bob so you can look at them just go to Facebook and search
for grammarly if you see anyone selling it you make sure it's uh it's not a fake person who is going to let's say scam
you and then you buy the advanced the premium grammarly but in the meantime you can start with a free grammarly and
it will also check your grammar errors so guys I want to finish by showing you the places you can go and start working
let's say you now have the skills you've developed them and now you want to look where can I get these jobs you can get
the best platforms to get better entry jobs it's upwork and Fiverr so the difference between upwork and Fiverr is
upwork uh you are going to get clients who have already posted the jobs here so your work is stupid for them to wait for
the client to reach you if you have won the bid and for Fiverr now you sell your skill you sell your data entry skill
so once you come here to app work what I want you to First do is because I have actually created a video showing you
about upwork how to upload your profiles and everything you need to do uh another tip I want to give you is make sure that
here you have selected talent and then search for data data entry so that you can get to see some of the people who do
data entry here uh we just wait for it to load so look for the top rated people who do data entry look for the
appropriated people click on them you can click on the first one the second one whichever whichever account you want
to to open on it and then look at how they have done their profile however they which skills do they have which
skills that they put and uh how have they done their description here how is their title and then you try to emulate
that when you are creating your own profile but I have created that video and I'm going to attach also the link of
the artwork videos in the description box you can just click on them watch once you reach the point of starting to
um what is it the entry-level jobs and also make sure you apply for this job at night from actually 11 A.M 12 a.m to 4
AM or 5 a.m in the morning that is the time you can actually get this upwork jobs also when you are applying make
sure the job was not posted let's say an hour ago you should post to jobs that are that are just been recently uh
posted so make sure you click on one profile check how they have done their profiles here uh what how their title is
how their profile picture here is and then how they have done their descriptions and then you try to emulate
we wait for the gigs to load and then once the gates load you look at this uh clients the first first people
you check you click you see how up they send their gigs how do they look like you see you make sure that your
thumbnail is a good one it's attractive as you can see this one is attractive and you can actually create these
thumbnails using canva using canva let me show you canva here canva is a platform where you you will find a
already designed thumbnails so your work will just be to edit those thumbnails this is the canva page okay
so yeah uh you make sure you check how they are how they have written their gigs about the gig and the services they
offer and then you just try to emulate okay you can search on different uh profiles try to check how they have
so guys uh I've come to the end of the video I hope that you have learned a lot and you're going to start applying for
this data entry uh jobs and if you start earning or if you get a job through uh by watching this video after watching
this video make sure you comment down below and tell me that at least you have started working as a data entry
specialist okay so thank you so much for watching and I hope to see you in the next video may God bless you and have a
